About the Role
The US Operations Coordinator is a highly organized, solutions-oriented professional who provides cross-functional operational support to our US office. This role ensures smooth execution of activities across development, marketing & communications, finance, and our collaboration with East Africa. The person in this role is an anchor for coordination, logistics, systems management, and execution in our US office—ensuring nothing falls through the cracks as Village Enterprise grows and deepens its impact.

Key Responsibilities
1. Executive & Organizational Coordination
- Provide US-based leadership support, including partner/funder support for scheduling, meeting logistics and knowledge management for the Managing Director-US.
- Support executive-facing meetings, internal leadership sessions, and board meeting support for the Managing Director-US and Chief Financial Officer.
- Prepare agendas, talking points, decks, and follow-up summaries for key meetings.
- Support communications and planning for conferences, events, and partner engagements.
- Manage the info@ inbox, ensuring timely, professional responses and routing inquiries to the appropriate teams.
- Provide support for Board management, including assistance to the Executive Assistant upon request for U.S.-based board members and helping with board meeting preparation (e.g., materials, logistics, CEO update coordination).
2. Cross-Functional Operational Support
- Coordinate information flow, scheduling, and milestones across Development, MarComms, and Finance to ensure alignment.
- Assist in managing vendor relationships, contracts, subscriptions, and operational tools.
- Support preparation for donor or partner events, webinars, and presentations.
- Oversee travel coordination for US staff, Board members, and visitors to/from East Africa.
- Oversee VE organizational registrations and statutory filings in collaboration with the Finance team, maintaining compliance and up-to-date documentation.
- Support the U.S. Finance & Administration (F&A) budget, including tracking expenditures, maintaining records, and preparing simple budget summaries as needed.
3. US Office & Administrative Management
- Oversee day-to-day administrative operations, including mail, inventory, and office supplies.
- Coordinate and maintain the US Office’s knowledge management systems, ensuring information is organized, up to date, easily accessible, and consistently shared across teams to support efficient decision-making and collaboration.
- Support the US office credit card process, invoices, approvals, and coordination with Finance.
- Manage an integrated calendar for the US Office to support strategic cross-team planning
- and execution throughout the year.
- Support the annual audit through document collection and communication with the finance team.
- Manage logistics for US staff retreats, Board travel, and internal gatherings.
- Oversee IT equipment procurement for US-based hires.
Qualifications
- 2+ years of experience in operations, nonprofit administration, coordination, or project management.
- Exceptional organizational and communication skills.
- Strong attention to detail and ability to prioritize in a fast-moving environment.
- Experience with Salesforce or other CRM systems preferred.
- Mission-driven mindset and ability to work across cultures and time zones.
- Comfort supporting multiple leaders and teams simultaneously.
